PURPOSE
Provides operational support to the Director, Facilities Planning and the Facilities and Space Allocation Committee for the activities of space allocation and space inventory control; supervises and directs the Room Assignment Office.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES
ESSENTIAL FUNCTIONS:
Recommend space use options and present alternatives for executive action to appropriate University officers, Director, Facilities Planning, and the Facilities and Space Allocation Committee consisting of the Vice Presidents.
Consult and coordinate with design staff members in the Office of Facilities Planning and the Facilities Engineering Section of the Physical Plant for costs estimates, construction considerations and physical relocation of departments and personnel; coordinates departmental requirements for the design of remodels, alterations and renovations.
Review departmental and division space allocation requests and proposed solutions; recommend or propose allocation of space; consider costs, building code requirements, physical and aesthetic suitability.
Negotiate and mediate conflicts between departments arising during the reallocation of space and supervise and coordinate departmental moves.
Assists the Vice President for Budget and Planning and Director of Facilities Planning in developing and analyzing a University-wide space utilization study and allocation program.
Provide annual reports of space allocation and utilization.
Supervise the activities and personnel of the Room Assignment Office, and make recommendations to Director of Facilities Planning related to personnel.
Direct and supervise the installation, maintenance and operation of a campus wide room scheduling system.
Provide budget planning and development for Space Allocation and Room Assignment Offices; may assist Director of Facilities Planning with budget planning and development for the Facilities Planning Office.
SUPPLEMENTAL FUNCTIONS:
Receive and file space allocation requests and related materials, including the maintenance and updating of a computerized space inventory and control system; conduct studies and provide statistical data to assure efficiency in space and facility utilization.

Read, interpret, and work from advanced sketches, blueprints, specifications, and construction drawings.
Provide space data and allocation information and plans for the planning, design, and construction phases of capital projects.
Understand and carry out oral and written instructions.
Develop and work within assigned project budget, goals and objectives.
Determine labor, equipment, and material costs related to management of software systems and assigned projects.
Manage work to meet multiple and potentially conflicting timelines.
WORKING CONDITIONS:
Standard office environment; frequently exposed to chemical, mechanical, and/or electrical hazards and temperature changes when performing physical inspections of various locations/facilities.
