Display the Extension Phone Number

Introduction

Extension phone numbers are included in the address book when they are available.  But, the number does not display automatically.  The address cards can be modified to display this information.  Take the following steps to display the extension phone number.  These instructions take approximately five minutes to complete.

Customize the Address Cards

The default view are address cards.  The view is customized to display the extension phone number.

  1. Open Microsoft Outlook.
  2. Click the Folder List icon.
  3. Highlight the CES address book.
  4. Click View > Current View > Customize Current View.  The View Summary dialog box displays.
  5. Click the Fields button.  The Show Fields dialog box displays.
  6. Highlight Business Phone 2 in the Available fields list.  The list is in alphabetic order.

Note:  When the business phone 2 field does not display in the available fields list, click the Select available fields from down arrow.  Highlight Frequently used fields.  Look for the business phone 2 field again.  If it still is not included, click the Select available fields from down arrow, and highlight All Contact Fields.

  1. Click the Add button.  The business phone 2 field moves to the Show these fields in this order list.
  2. Highlight Business phone 2.
  3. Click the Move up button until business phone 2 is beneath the business phone field.
  4. Click OK twice to close the dialog boxes.
