County Staff Functions

There are two ways to access 4H4Me as a county educator or support staff person.  Each method provides different options.

Access 4H4Me from within 4HPlus!

  • Use to add a county educator or support staff person a user ID and password.
  • Use for full county data upload.
  • Use for uploading changes made in 4HPlus! program to the web site.
  • Use for downloading changes made by members and/or leaders on the web site to the 4HPlus! program.
  • Access to set the parameter options to allow county members and/or leaders the ability to add or delete clubs, projects, or achievements.
  • Enter contact information such as address, phone number, e-mail address, hours, etc., for the county extension office.
  1. In the 4HPlus! program, click Go to > Archive > Web Data.  See Figure 1.

  1. Some of the disable options are not available at the county level.  These include Direct Options Direct Access, State Options Direct Access, and Federal Options Direct Access.  Others, such as Process Download File and Upload Login are available as different functions are performed.
  2. One of the first things to do is Upload Full County Data Set.  In general, this is done one time only.  It is password protected with the daily password available from the state supporter to prevent inadvertently uploading and overwriting changes that leaders or members may have made.  If it is determined that an upload of a full county data set needs to be performed a second or third time, be aware that changes may have been made online by leaders or members.  Changes must be downloaded first prior to uploading a second time.  A warning is given with an option to cancel or proceed.  If changes have been downloaded or it is known that people are not using 4H4Me yet, click OK and proceed.

Upload Full County Data Set

  1. When the Upload Full County Data Set is selected, a screen appears that gives the option of selecting Continue.
  2. Enter the password.
  3. The option to Build Full County Data Upload is active.  Select this option.  After a few moments, the screen should appear as shown in Figure 2.  Click the image to enlarge it.  Do not worry about the masked URL with the asterisks (*******).  Nothing is done with this line.

  1. Select Upload Full County Data Set.  The 4H4Me web site upload page displays.  See Figure 3.  Click the image to enlarge it.

Note:  The arrowed areas in Figure 3 are instructions and do not appear on the screen.

  1. In the File to find field, copy by selecting the file name and path in the box.  Press Ctrl+C.
  2. Click the File to upload field.  Press Ctrl+V to paste the file name in the field.

County Options Direct Access

  1. Click Go to > Archive > Web Data > County Options Direct Access.

This is the option that allows access to the parameters that control the way 4H4Me works in an individual county.  Both the state and the county can set the parameters shown in Figure 4.  Click the image to enlarge it.

Both the state and the county parameters must agree in order for a specific function to be enabled or disabled.  The state can determine that on a full, state basis, it is okay for members and/or leaders to add or delete projects and clubs.  However, if a county does not wish to have this option, set the parameters to now allow these features.  Members and leaders in that particular county will not be able to use these features.

Direct Access to 4H4Me by County Staff

  • Log on from any machine to view member or leader information, print reports, listing, or mailing labels.
  • Post messages to members and leaders of any club or clubs (multi-selectable).
  • Upload links to members and leaders of any club or clubs (multi-selectable).
  • Upload documents and forms for your members and leaders in the selected club(s).
  • Upload photos for viewing by members and leaders in the selected club(s).
  • Create a .pdf file of a leader's club lists or mailing labels that can be e-mailed to them if they are having problems displaying a report due to popup blockers or slow connections.  While there is not a way within 4HPlus! to create a .pdf file and e-mail it to a leader, this can be done on the web site.

Steps for Logging On

  1. Open a web browser.
  2. Go to www.4h4me.com.  The home page displays.  See Figure 7.  Click the image to enlarge it.

  1. Use the Express Login Code entry method.
    1. Click the entry box below 4H County Staff.
    2. Enter the login code:  2-letter state designation, 3-letter county designation, the user name, and password.

Example wyuntbarb1234safe is the express login for a person from Wyoming, in Uinta County, whose user name is barb1234, and the password is safe.

County Staff Functions

  • Change a county staff member's password.
  • List and display members and leaders.
  • List clubs and projects.
  • List achievements.
  • Add or delete clubs.
  • Upload club messages.
  • Upload club links.
  • Upload club files and documents.
  • Upload club pictures.

Most of these functions are fairly self-explanatory.  Directions for uploading messages, links, files, documents, and photos are on the screen when each option is selected.

Leader tip sheets have been developed for all the upload options.  The procedure as a county staff user is the same as a leader.  The county staff person has access to a wider audience because uploads can be directed to all members and leaders in a county by using the option to multi-select clubs.
