 Dear Department Heads and Main Staff,

 The Classroom Scheduling Committee chaired by Associate VP Rollin Abernethy is going to start meeting regularly.  Soon the Business College classrooms will be unavailable and other classrooms will be out of the pool since there is some remodeling money that will be used to refurbish them.  I am attaching two lists that the Scheduling Committee will be updating. 

 The excel file labeled roomlist provides the current classification of rooms—S25 for classrooms which the centralized algorithm schedules, preassigned plus for which specific units have first scheduling priority, and preassigned only which are completely restricted to specific units.  Please check this list to see whether the rooms you know about are categorized correctly.  I know that some rooms on this list don’t even exist anymore.  I need to get them eliminated.  If you have a particular room that is not on this list, do not send it forward.  If it is not on the list, it is yours. Send inquiries and information especially about rooms that have been eliminated to me.  Do not make requests for reclassification at this time. 

 The excel file labeled preflist2 provides a preference list for departments as to spaces where their classes are assigned.  Generally, proximity governs preference but this is not always true.  For example, Chemistry may schedule lab sections in preassigned rooms but preference for the large lectures may be in the Classroom Building.  That is what needs to be on this list. The specific number listed is not important but the order is.  You should check the order.  If the location of your unit has changed, you may wish to change the order significantly.  In addition, we will be removing the Business Building from the preference list temporarily.  I am not completely sure how long the committee’s examination of these files will take, but I suggest that you complete this task by November 30.  I will let you know if it has to be done more quickly.

 I realize that many of us hoped that the opening of the Classroom Building would alleviate the need for centralized classroom scheduling.  Such is not the case.  Even more classrooms will be out of commission starting this summer.  Centralized classroom scheduling is here to stay.  I will keep you informed as I get more information.
