Voice Mail Set Up and Operation Instructions

Listen to the prompts while using Meridian voice mail. The voice of Meridian Mail will guide you. Unsure of what to do next? Press star key (star key) at any time for help.

Express Messaging

Quick way to leave a message in another Meridian Mailbox without logging into your mailbox.
Calling Back Call back the sender of a voice message without hanging up and dialing their number.

Express Messaging (transfer calls to voice mail)

Leave a voice message in someone's Voice Mailbox.

  • Dial 6-1001,
  • Enter recipient's mailbox number (5 digit extension),
  • Press #,
  • Record your message, and hang up.

Messages taken in writing can be misunderstood or mislaid, resulting in a delay of communication. To allow a calling party to leave a detailed message, transfer them to any valid voice mailbox.

  • Multi-line telephone sets, press TRANSFER key, dial 6-1001. Follow the prompt and enter the mailbox number, press #. Press TRANSFER again to remove yourself from the call.
  • Single line telephone sets, press LINK or FLASH key, dial 6-1001, enter mailbox number, press #, then hang up.

You may use conference instead of transfer to "transfer" a caller to a mailbox. If your multi-line telephone set does not have a transfer key, use the conference key to make the transfer. Using conference provides you with the ability to support the caller and you can ensure they have been connected to the mailbox before you hang up. Express messaging is also a wonderful way to communicate with personnel in your department when you out of the office and unable to call during normal working hours.top of page


Calling Back the Sender of a Voice Mail Message

You can call the sender of a voice mail message without hanging up and dialing their number. 

  • Press 9 after listening to the message (the sender's phone must be on campus)top of page

Greetings  

If there is only one type of greeting recorded (Internal/External) all callers will hear it.

External Greeting- This is a customized greeting which long distance callers will hear when they are forwarded to your voice mail. 

  • Dial 6-1000 to logon to the voice mail system
  • Press 82
  • To record a greeting for external calls, press 1. To play the current greeting, press 2.
  • Press 5. Wait for tone, begin recording your personal greeting. Press # to stop recording. To review the greeting , press 2.
  • To delete and re-record your greeting, press 76 and repeat the previous step.

Internal Greeting- This is a customized greeting which callers on campus and in Laramie will hear when they are forwarded to your voice mail. 

  • Dial 6-1000 to logon to the voice mail system.
  • Press 82.
  • To record greeting for internal calls, press 2.  To play the current greeting, press 2.
  • Press 5. Wait for tone, begin recording your personal greeting. Press # to stop recording. To review the greeting , press 2.
  • To delete and re-record your greeting, press 76 and repeat the previous step. top of page

Suggested Greetings for Your Voice Mailbox

In general, do not leave messages that indicate your office may be unoccupied for an extended period of time. This can make your room an easy target for burglaries. 

  • This is [name]. I'm not available to take your call but if you will leave me your name, and a detailed message and a number where I can reach you, I will return your call as soon as possible.
  • This is [name]. I am not able to answer your call right now. Please leave me a private message at the tone.
  • Hi, this is [name]. I'm sorry I missed your call. If you leave me a detailed message I will get back to you as quickly as possible.
  • This is [name]. I can't come to the phone right now but if you'll leave me your name, number and a detailed message, I'll get back to you as soon as possible.
  • Hello, this is [name]. I will be away today. If you would like to leave a detailed message I will get back with you tomorrow.
  • Hello, this is [name]. I will be in [Washington] until [Thursday], but please leave a message. I will be reviewing my messages daily and will return your call as soon as I can.  top of page

Temporary Greeting- This is a customized greeting which all callers will hear (overriding external and internal greetings), until the expiration date and time you preset, or until you delete it. For example: "Hi! This is Bob. I will be in China until Monday, but please leave a message. I will be reviewing messages daily and will return your call as soon as possible." 

  • Dial 6-1000 to logon to the voice mail system.
  • Press 82.
  • To record a temporary greeting for all calls, press 3. The current greeting will play (if any).
  • Press 5. Wait for tone, begin recording your personal greeting. Press # to stop recording. To review the greeting , press 2.
  • To delete and re-record your greeting, press 76 and repeat the previous step.
  • After you have reviewed your temporary greeting, press 9 and follow the prompts to set the date and hour for your temporary greeting to expire. You may delete the temporary greeting at any time. top of page

Logging In

From On-Campus

  • Dial 6-1000 
  • Following the prompt, enter your mailbox number, then press #. Your mailbox number is 6 followed by your extension number (6 - xxxx).
  • Enter your password, then press #

From Off-Campus

  • Dial 766-1000 
  • Following the prompt, enter your mailbox number, then press #. Your mailbox number is 6 followed by your extension number (6 - xxxx).
  • Enter your password, then press #

Logging Off

To log off, Press 83 (good-bye). Single line sets must press RLS in addition to 83. top of page


Messages

Composing Messages

Compose and address a message, then send it when you are ready. 

  • While logged into voicemail press 75
  • Enter the recipient's mailbox number, or a distribution list number then press #
  • If there are more recipients continue to enter mailbox or distribution list numbers pressing # after each entry, until finished
  • When finished entering numbers, press # again
  • Press 5 to record your message
  • When finished press #. You can check your message, edit it, and tag it if you wish (see "Checking/Editing Messages" and "Tagging Messages")
  • When ready to send the message press 79

If you do not send your message the prompt will notify you that it has been saved.
Your unsent messages will play when you hear your other messages.

  • To send a saved message press 79 when you hear it play. top of page

Checking/Editing Messages

Listen to and revise your message before you send it.

  • Press 2 to play your message
  • Press 1 to skip back
  • Press 3 to skip forward
  • Press # to pause
  • Press 2 to continue

To delete the message and re-record it:

  • Press 5 
  • When you hear the tone begin recording
  • Press # when finished

If you only want to re-record part of your message:

  • Press 5 when you reach the place in the message that you want to change
  • When you hear the tone begin recording
  • Press # when finished

To delete the entire message: 

  • Press 76

To play the message envelope (sender, date and time information):

  • Press 72 top of page

Deleting Messages 

  • Press 76. You must be within the Voice Mail message to delete that particular message
  • You may restore a deleted message. Press 76 while the announcement of the deleted message is playing. top of page This must be done during the same session in which you deleted the message, before you disconnect from voice mail. 

Distribution Lists

You can use a distribution list to send messages to frequently used mailboxes without having to enter them separately every time. You may have up to 9 different lists, and each can contain up to 99 entries.

To create a Distribution List:

  • While logged into voicemail press 85
  • Enter an identifying list number from 1 to 9. For example, your first list would be number 1
  • Press 5 to create the list
  • Enter a mailbox number, then press #
  • To delete the last number entered press 0#
  • Continue to enter numbers until the list is complete, then press #

To check a Distribution List:

  • Press 85
  • Enter the number of the list you wish to check, then press #
  • Press 2 to play the list

To delete a Distribution List 
(to change a list you must delete it and create a new one):

  • Press 76 immediately after hearing the desired list number
  • You can restore the list you deleted by pressing 76 at the prompt immediately following deletion top of page

Forwarding Messages

You can forward a message to another voice mail subscriber(s). You can also forward a message to a distribution list. 

  • Press 73 after listening to the message,
  • Enter the intended recipient's 5 digit extension (or a distribution list number),
  • Continue to add extensions in the same manner,
  • Press # to end the list of extensions,
  • Press 5 to start a recording (to add your own comments, header),
  • Press # to stop recording
  • Press 79 to send the message. top of page

Navigating through Messages 

To navigate within a message:

  • Press 1 to skip 5 seconds back
  • Press 3 to skip 5 seconds forward

To navigate within your voice mail box:

  • Press 4 to skip 1 message back
  • Press 6 to skip 1 message forward top of page

Playing Messages

  • If you have autoplay: when you log into voice mail your new messages will automatically begin playing. Once you have listened to all of your new messages, voice mail will “wrap” around and begin playing your oldest, listened-to messages.
  • If you do not have autoplay: after you log into voice mail, you will have to press 2 to begin listening to messages.

Replying to Messages 

You can reply message to someone who left you a message. The other person must also have Meridian voice mail.

  • Press 71. You must be within the voice mail message,
  • Press 5 to start recording (to add your own comments, header),
  • Press # to stop recording,
  • Press 79 to send the message. top of page

Retrieving Deleted Messages

If a message is deleted in error, you can "undelete" the message. Backup (press 4 to skip 1 message back) to the deleted message and press 76. 
Note:
once you exit your mailbox, deleted messages cannot be retrieved.

Tagging Messages 

After you have composed a message (see "Composing Messages") you can "tag" it for delivery.

Before you send the message:

  • Press 70, then follow the prompt to select delivery options,
  • Press 1 for Urgent,
  • Press 2 for Standard,
  • Press 4 for Private,
  • Press 5 for Acknowledgement,
  • Press 6 for Timed Delivery. You will be prompted to set the date and time for delivery .

To select more than one option press 70 again after the confirmation of the previous option, then select the number of the next option.  top of page


On Line Help

To get help at anytime while in voice mail or to obtain additional prompts, press *. Press 7* to get message command help. Press 8* to get mailbox command help. 


Operator Assistance Number: Assigning a Custom Operator 

(administrative  telephones / voice mail boxes only)

When a caller reaches your voice mail, you can give them the option of leaving a message or exiting voice mail and talking to someone else in your department. For example: "Hi! This is Jim's voice mail. Please leave a message at the tone, or press zero now to speak to my secretary.”

  • Dial 6-1000 to logon to the voice mail system,
  • Press 80,
  • To program the custom operator, press 1, the system will tell the current custom operator (if any),
  • Enter the 5 digit extension, then press #. top of page

Passwords: Changing Your Password

Your initial password will be programmed by Telecommunications Services. We recommend that you change your password for security reasons. 

  • Dial 6-1000 to logon to the Voice Mail System.
  • If you have autologon skip to the next step. Your mailbox number is 6 followed by your extension number (6 - ####). Enter your mailbox number then press #, enter your password number then press #. If you do not know your original password number call the Telecom Help Desk at 766-HELP (4357), option 2.
  • Press 8, 4, enter new password (between 6 and 16 digits), press #.
  • Enter new password again, press #.
  • Enter old password, press #. Your password has now been changed. 
    Do not forget your password. 

If you do not know your current  password number call the Telecom Help Desk at 766-HELP (4357), option 2.


Personal Verification

Record your name (and extension, etc.) for your voice mail recipients to hear at the beginning of your outgoing messages. This ensures that your identity is available to recipients of your voice messages. This message will also be heard by callers if you have no greeting recorded.

  • Dial 6-1000 to logon to the voice mail system.
  • Press 89, the system will play the existing personal verification (if any).
  • Press 5. Wait for tone, then speak your first and last name and/or your department name. Press # to stop recording. Customize your name in any manner you wish.
  • To delete your personal verification and re-record it, press 76 and repeat the previous step.  top of page

Stopping or Pausing

To stop or pause while in the system, or exit a specific command, press #.


Thru-Dialing  
(placing a telephone call while logged into your mailbox)

You can dial another campus telephone number without the necessity of hanging up and redialing when all messages have been retrieved. This is especially advantageous if you have made a long distance call to access your mailbox.

  • While in voice mail, dial 0 plus the five digit telephone number you want to call and press #. Do not pause between entering the zero and the extension number.
  • If you dialed an incorrect number, try again.top of page
