Data can be shared between counties using the same data form.  For example, mailing list information from different counties can be combined.  Information can also be sent to the state.  The 4-H Alumni information is shared using this method.  Users of the 4HPlus! program are familiar with sending data and should find the process in Data Master easy to use.

The 4-H Alumni data form is used to illustrate the process.

Create the Data Exchange File

  1. Open the Data Master program.
  2. Click Go to > Archive > Send Data.  The Send Data screen displays.  See Figure 1.

  1. Highlight the data list being used.
  2. Highlight the desired counties when sending data to other counties.  Highlight WY Wyoming when sending data to the state.
  3. Click the Build Now button.
  4. A message displays showing the name and location of the data exchange file.  Click OK.

Note:  The file is saved in the C:\CKV\Datafer folder.  The file name is XXXdata.dmd, with XXX representing the county abbreviation.

  1. Create an e-mail message.  Send the data exchange file as an attachment.

Install the Data Exchange File

Note:  Each computer must be using the same version of the Data Master program or the data file cannot be processed.

  1. Save the XXXdata.dmd file to the C:\CKV\Dataxfer folder.
  2. Open the Data Master program.
  3. Click Go to > Archive > Receive Data.  The Receive Data screen displays.  See Figure 2.

  1. Highlight the file in the Select the file(s) to process list.
  2. Click the Yes radio button in the Remove file(s) after processing section.
  3. Click the Process button.
  4. Click OK when the file processing is complete.
  5. Click Return.
  6. Click Go to > Main > Update Disk to save the data to the hard drive.
  7. Click Go to > Select List Form > Select Data List.
  8. Highlight the data list.
  9. Click the Open List button.
  10. Click the Review Existing Record radio button.
  11. Click the By Name or By ID radio button.
  12. Click the Process button.  The list of records displays.
