Backup files

Backup files contain all the data in the specified program and can be used to restore your data should a software or computer crash occur.  These files can be stored in several locations.  You will be given 3 or 4 options depending on whether you are a county or state user of the software.  In general, state files are too large to fit on a floppy.  Your choices will be:

  • A:\  = floppy drive
  • C:\  = root of the hard drive
  • E:\  = zip drive - This drive letter may vary from machine to machine and can be controlled by the user in the parameters section of the software.  This is always found under Utilities.  While this drive is designated as the "zip" drive, it is interchangeable with a USB port.  So, if you are using flash media to backup your information, simply change the drive letter in the parameters to match the drive letter of your chosen USB port.
  • State Folder – The state folder location is the folder designated WY under whichever application you are backing up.  For example, in 4HPlus!, it is C:\CKV\4HPlus\WY.

In the case of backup files, it is a very good idea to have backups on removable media as well as on your hard drive.

Backup files are named:

4hback.ebd 4HPlus! (The ebd is your clue that this is a fully encrypted file.)
Fairback.txt FairPlus!
Dmback.txt Data Master
Scback.txt ScoreCon

 

While you can actually open the files that end in .txt, you do so at your own peril. Accidentally inserting as much as a space can render them difficult if not impossible to restore.  They would be meaningless to most people in viewing as well as they are encrypted.

Exchange files

These are the files that contain data that is exchanged between state and county offices or in the case of Data Master, they may be exchanged between county and county.  These files are created in the specific software and automatically processed by the receiving software. This also includes the specific files for exchanging fair items from county to Wyoming State Fair.

These files are ALWAYS stored on the dataxfer folder (short name for data transfer).  The software will automatically store them in this folder and the receiving end of the software will "look" for them in this folder.  Thus, it is a good idea to learn this path:

 C:\CKV\dataxfer

The files on this folder are considered expendable and can be deleted at any time because they are "recreated" every time you exchange data again.  The newest file will always replace any existing files of the same name.

4HPlus! Exchange Files

Files created on a county machine in 4HPlus! to be sent to the state level will be in the following format.

4HWSKST_.ebd The county code before the st_ code indicates that this is a file from a county directed to the state office.
4HST_WSK.ebd Conversely, the st_ prior to the county code indicates a state to county exchange file.
4HST_XXP.ebd These are files that the state can create containing information that is applicable to all counties rather than specific counties.  Examples:
  County specific information
  • Leader screening
  • Leader horse
  • Leader shooting sports
  • Deletes
  Statewide information
  • Project codes
  • Delivery methods
  • Initiatives
  • CSREES Codes
  • SQL tasks created at the state level for collecting specific consistent data from all counties that is not available via a "canned" report.
  • State Field Names
  • Selected Parameters – the state can set and lock county parameters for consistency.

4H4ME Exchange Files

Files exchanging data from the 4HPlus! system in the county will be created and uploaded to the website in order to keep information on the website current.  If changes are allowed in member and/or leader enrollment registration information or clubs and projects on the website (4H4ME), then files will be downloaded to the local county office computers.

This will be an automatic process, although you will need to know the path for downloading and saving information.  Because this is web-based data, it will downloaded and uploaded from the C:\CKV\webxfer folder.

The Albany county initials (Alb) are used in these samples.  Substitute your three-letter county code when looking for or viewing your county's files on this folder.

wyalbup.wud Uploads from 4HPlus! to the 4H4ME website containing changes as made on the county system.

wyalbdown.wdd Downloaded files from the website if changes have been made to data on the website.

FairPlus! Exchange Files

FairPlus! uses or creates only two types of files for exchanging fair items from county to Wyoming State Fair or for transferring data from master to slave machines using the distributed data processing utility.

In FairPlus!, files are never “sent down” from state to county.

Two files are created at the county level and must both be sent to the state level.  They are automatically stored on the C:\CKV\dataxfer folder.  They consist of the three letter county code plus the text ids.txt or items.txt, i.e.  albids.txt or albitems.txt.

ALBIDS.txt Contains the exhibitor's id information such as names, addresses, etc.
ALBITEMS.txt Contains all the item information for county items being sent to the State Fair.
Exchange01.fxd These files contain all information designated by the user to be sent either to the master or slave machine.  The number associated with each exchange file designates the machine the exchange file originated on and can range from 01 to 99.

Data Master Exchange Files

Data Master is somewhat more complex in the types of files that can be exchanged between the web and between various counties and/or between county and state.

Files in Data Master are of two types – form files and data files.  Form files contain just the form or shell and can be created on one machine and sent to other machines for use with "different" (local) information or they can be uploaded to the central Data Master website to be filled out online.  Data files contain the data that has been inputted to a form file and can also be shared between county(ies), or county to state, or state to county to share actual data from location to location.

wy_form.dmf A form file created on a state system to be sent to and processed on another state or county system.
wy_data.dmf A data file created on a state system to be sent to and processed on another state or county system.
pakform.dmf A form file created on a county system (Park) to be sent to and processed on another county or state system.
pakdata.dmf A data file created on a county system (Park) to be sent to and processed on another county or state system.

Data Master Central Exchange Files

Files that are created on Data Master (your local machine) with the intention of publishing them to the Data Master Central website for registrations, surveys, data collection, etc. and then downloading them into your local Data Master database for processing are stored on the C:\CKV\dataxfer folder.  When you download the file from the web for this list, you will need to save it to the C:\CKV\webxfer folder.

The file that is created to be uploaded to the web is a form control file (.fcf) and is stored on the C:\CKV\dataxfer folder.  When you upload the file, you will need to browse to this location to find your form control file to upload.  These file names are displayed on the screen for you when they are built and are composed of the three (3) letter list code, followed by the state id, followed by your county code.  For example, if you have a data list with the three letter code agm for an ag mailing list and you are in the Albany county, the file name will be agmwyalb.fcf.  The file you download from the web will be removed as soon as you process it, so you will seldom see it unless you forget to process it.  In that case, you can find the file on the C:\CKV\webxfer folder with a .dmc extension.  You will need to remove this file before you can download and process a new file. 

C:\CKV\dataxfer\agmwyalb.fcf The form control file used to upload a form to the web.
C:\CKV\webxfer\wyalb.dmc The download file from the web, this file is automatically removed from the web when you process your downloaded file.

Exported Files

These are files that are created within the various programs and exported for use by word processor, spreadsheet, or other database software.
